If you have a multi-user version of QuickBooks Online, some situations cause QuickBooks to run slowly when two or more users are working in your company file.
For the best performance in multi-user mode, be sure to install QuickBooks or the QuickBooks Server on the same computer where the company file is located and set up that computer according to the recommended multi-user setup.
Where to store your company file
Whenever possible, place your company file on a computer that has QuickBooks installed. For more information, refer to the recommended multi-user setup.
Select a computer that meets or exceeds the recommendations for processor, memory, and disk space. The amount of RAM on the computer can significantly affect performance.
Select a computer with the least amount of non-QuickBooks activity.
Tips for day-to-day operations
You can do most day-to-day tasks in multi-user mode without noticing much difference in performance.
Tasks that take a long time to complete, such as running large reports, can affect performance for other users. A few tasks, like finding transactions, temporarily prevent other users from working on the company file. Consider doing these tasks when other users are not working in the company file. For the best performance when completing these tasks, use the computer where you store your company file. If that computer is not available to you, use the fastest computer connected to the network.
You can also improve the performance of day-to-day tasks by modifying your QuickBooks preferences.
In the Reminders preferences, select "Don't Remind Me" for tasks for which you don't need a reminder.
In the Reports & Graphs preferences, select "Prompt me to refresh" or "Don't refresh." Refreshing reports automatically can slow performance.

Running a very large report can prevent other users from working in your company file while QuickBooks creates the report. For large reports, we suggest the following:
Wait until other users have logged out of the company file before you run the reports. For the best performance, run the reports on the computer where you store your company file. If the file is on a network computer that is unavailable to you, use the fastest computer connected to the network.
Be aware that some reports require more time to create than others. The slowest reports are journal reports and cash basis transaction reports.
In the Reports & Graphs preferences, consider selecting "Prompt me to refresh" or "Don't refresh." Refreshing reports automatically can slow performance.
Refresh a report or graph only when you are ready to work with its data. If (Refresh needed) appears in the toolbar of a report or graph and you are not working with the report or graph, leave the report or graph unrefreshed.
Tips for printing
When you have cheques, business forms, or reports to print, we suggest the following:
If you are printing more than 50 cheques or forms at once, break the printing job into two or more smaller jobs. For example, if you have 60 invoices to print, print them in two groups of 30.
Don't print a large report when others are working in the company file. Wait until other users have logged out and then print the report. For the best performance, print the report from the computer where you store your company file. If the file is on a network server that is unavailable to you, use the fastest computer connected to the server.
